Sending Window

What is a Sending Window?

A sending window is the controlled timeframe during which cold emails are allowed to send, usually within standard business hours. It ensures messages go out at predictable times that recipients expect. This reduces the appearance of automation and aligns outreach with normal communication patterns that providers consider safer and more trustworthy.

Why Does a Sending Window Matter for Cold Outreach?

A sending window matters because inbox providers associate human communication with predictable daytime activity. When cold emails arrive late at night or in erratic bursts, Gmail and Outlook often treat them as automated. Sending during steady business hours leads to stronger engagement, fewer deletes, and better long term deliverability.

What Are the Best Practices for Setting a Sending Window?

A good sending window typically stays within an eight to ten hour daytime range, such as 9 AM to 6 PM in the prospect’s timezone. Staying consistent each day, avoiding large volume spikes, and preventing overnight sends help preserve a natural pattern. These settings make cold emails blend more closely with normal inbox traffic.

What Are the Benefits of Using a Sending Window?

A clear sending window improves open rates, reply rates, and overall engagement by delivering emails when recipients are most active. It also protects domain reputation by avoiding suspicious timing patterns. Over time, this consistency supports stable inbox placement and prepares outbound programs for predictable scaling.

Frequently Asked Questions

Frequently Asked Questions

What hours are safest for cold email sending?
Safe hours usually fall between 8 AM and 6 PM in the recipient’s local timezone. These hours match typical workday activity, which inbox providers trust. Emails sent within this range receive better engagement because recipients are actively checking their inbox. Avoiding overnight sending reduces the risk of filtering or throttling.
Should the sending window match the prospect’s timezone or mine?
It should match the prospect’s timezone because inbox providers measure engagement based on when the recipient interacts. Emails delivered when the prospect is offline often sit unopened for hours, creating weak signals. Most sequencers support timezone based scheduling, which helps maintain consistent and relevant timing.
Can sending outside the window damage deliverability?
Occasional exceptions are fine, but frequent late night or early morning sending can look automated and reduce trust. Providers monitor timing patterns as part of their filtering logic. When cold emails consistently appear during off hours, engagement drops and reputation weakens, which leads to more Promotions or Spam placement.
Should the sending window stay the same every day?
Yes, keeping the window consistent helps establish a predictable pattern that mailbox providers view as normal. Constantly changing the window or expanding it too broadly introduces irregular behavior. A stable window also makes it easier to control volume and monitor any shifts in engagement or deliverability.
How many emails should be sent within a sending window?
Volume should be spread evenly across the window to avoid sudden bursts. For example, sending 50 emails per hour across an eight hour period is safer than sending 400 emails in the first hour. Even distribution prevents spikes that resemble automated campaigns and supports healthier inbox placement.
Can multiple sending windows be used for different regions?
Yes, outbound teams often create separate windows for each region based on local business hours. This ensures emails land at reasonable times for every timezone. Using region specific windows helps maintain strong engagement across global outreach and prevents patterns that might look unusual to recipients or providers.
