Plain Text Email

What is a plain text email?

A plain text email is a message written without HTML, images, colors, or formatting. It contains only text, similar to what someone would naturally type in a personal or professional email thread. Because it avoids design elements, it loads quickly, works across all devices, and closely matches the format inbox providers trust most.

Why do plain text emails work well for cold outreach?

Plain text emails work well because they feel personal and informal, which increases reading time and reply likelihood. Inbox providers also treat plain text as a safer format because it resembles one to one communication rather than bulk messaging. This reduces filtering risk and helps protect sender reputation during outbound campaigns.

What are the best practices for writing plain text emails?

Effective plain text emails are short, easy to skim, and usually only three to five lines long. The tone should feel conversational and free of unnecessary formatting tricks. Keeping the structure simple, avoiding link stuffing, and focusing on relevance helps the message feel authentic and improves both engagement and placement.

What are the benefits of using plain text for cold outreach?

Plain text improves deliverability, increases trust, and reduces the risk of landing in Promotions or Spam. It also encourages more natural replies because the message feels like a direct note rather than a marketing email. Teams using plain text typically see stronger engagement patterns, which translates into healthier domain reputation.

Frequently Asked Questions

Frequently Asked Questions

Do plain text emails land in Primary more often?
They often do, because Primary inboxes favor messages that resemble human communication. HTML heavy or design driven emails are more likely to be routed to Promotions. While no placement is guaranteed, plain text improves the probability of landing where prospects are most likely to see the message.
How long should a plain text cold email be?
A plain text cold email usually performs best when kept to three to five brief lines. This respects the reader’s time and reduces friction. Longer blocks often discourage replies, while overly short messages can feel abrupt or incomplete. A concise, conversational middle ground works consistently well.
Can plain text emails include links?
Yes, but links should be used sparingly. One link is generally safe, especially if it points to a trusted domain. Multiple links create spam like patterns and may cause filtering. Many outbound teams use no links in the first email and introduce them only in later steps.
Do plain text emails improve deliverability?
In most cases, yes. Because plain text avoids heavy HTML, trackers, and design elements, it reduces risk signals. Providers often interpret plain text as more organic, leading to better inbox placement. Strong engagement patterns further reinforce positive deliverability outcomes.
Is plain text always better than HTML for cold email?
For cold email, plain text is usually safer because it aligns with natural sending behavior. HTML works well for newsletters or product updates but often triggers promotional filters. However, the best choice depends on the audience, purpose, and expected reply behavior. Plain text remains the preferred default for outbound.
