Domain Warm Up

What is Domain Warm Up?

Domain warm up is the controlled process of slowly increasing email volume from a new or previously inactive domain. The goal is to show inbox providers that the domain behaves predictably, sends to valid recipients, and generates normal engagement. A proper warm up reduces the risk of early filtering and sets the foundation for long term sending stability.

Why is Domain Warm Up Important?

Domain warm up is important because inbox providers treat new domains with caution. Sudden high volume sends look unsafe and often lead to spam placement or throttling. Gradual warm up helps the domain build reputation through consistent engagement. This early reputation becomes the basis for future scalability and directly affects inbox placement across all campaigns.

What Are the Best Practices for Domain Warm Up?

Best practices include starting with very low daily volume for the first week, usually five to ten emails per mailbox, then increasing slowly. Sends should go out only on weekdays during business hours. Early messages must target verified leads to ensure positive engagement. Monitoring bounce rate daily helps prevent misalignment before it turns into permanent reputation damage.

What Are the Benefits of Domain Warm Up?

The benefits include stronger inbox placement, safer scaling, and long term reputation stability. Warm domains experience fewer spam routes and fewer content restrictions. A solid warm up also makes future performance more predictable, allowing teams to steadily increase daily volume without sudden drops. This foundation supports healthier outreach across all sending mailboxes.

Frequently Asked Questions

Frequently Asked Questions

How long does a domain warm up usually take?
A typical warm up lasts two to four weeks depending on sending goals and engagement quality. New domains with no history require the full duration, while previously active domains warm slightly faster. Increasing volume too early creates instant delivery strain, so extending warm up by a few days often prevents long term reputation loss.
How many emails should be sent per day during the first week?
Most warm ups begin with five to ten emails per mailbox per day. These messages should be sent during local business hours and directed to accurate, engaged leads. Providers watch early behavior closely, so keeping volume extremely low in the first week is one of the strongest predictors of warm up success.
Should warm up emails be different from normal outreach?
Warm up emails should be simple, brief, and directed to verified contacts. They do not need to carry a hard CTA. The purpose is to generate normal engagement like opens or short replies. Using overly polished templates or automated sequences during warm up increases fingerprint risk and may trigger early filtering.
Can warm up be automated?
Warm up can be automated, but it still requires monitoring. Tools can schedule gradual volume increases, but engagement quality must be reviewed daily. If bounce rate or spam placement rises, volume should be reduced immediately. Fully hands off warm up often leads to misalignment because tools cannot assess nuanced inbox signals.
What happens if warm up is rushed?
Rushed warm up typically causes spam placement, throttling, or rejection within the first few days. Once a domain is flagged early, recovery can take several weeks even after correcting behavior. Filtering from rushed warm up often affects every mailbox on the domain, reducing visibility and slowing future scaling efforts.
Can a damaged domain be warmed again?
A damaged domain can be warmed again, but it requires reducing volume to near zero for several days and sending only to high intent or verified contacts. Recovery is slower than warming a fresh domain. Most teams prefer to pause sending for a week, lower frequency, and rebuild engagement before attempting to scale again.
